How to Create a Recurring Appointment in Outlook
Purpose of a recurring meeting
I don’t know about you, but I have a lot of recurring appointments. Personally, I definitely don’t want to have to enter them all into my calendar one by one. It would be very time-consuming. This type of appointment, called a “recurring appointment,” is very easy to set up once.
A recurring appointment is great for reminding you of regular tasks like bill payments, your child’s sports activities, and more. I use this feature to add birthdays to my calendar and even to remind me when to send my newsletter.
It’s important to note that an appointment in Outlook isn’t just useful for a physical trip, such as a doctor’s appointment. It can also be used to assign specific tasks that you need to complete on specific days.
Create a recurring appointment
Date and time
To create a recurring appointment, follow these steps:
- Open Microsoft Outlook
- In the folder pane, select Calendar

- Locate the day and time in the Calendar view where you want to add a recurring appointment. Left-click it once.

- You will see a blue bar appear
- Double-click on the time slot to see the Untitled – Appointment window appear:

- By using double-click to open the window, the start time and end time have been filled in for you based on the selected time slot.
- You can now add a subject, for example paying the phone bill.
- In the “Location” field, you can choose to leave this field blank if it does not apply to the appointment. Or you can enter an address or location for this recurring appointment.
- Make sure the start time and end time are correct for the date and time. If not, simply click the calendar icon to adjust the dates.
- Next, you need to choose how to display this period in the calendar. Is it simply that you’ll be busy or that you won’t be in the office?
Recurrence
- Now click the Recurrence button on the ribbon.
- The Appointment Recurrence dialog box appears.

- The Appointment Recurrence dialog box appears.

- You can now specify a recurrence pattern, for example daily, weekly, monthly, or yearly. I’ll choose Monthly
- You can now choose whether you want the appointment to always take place on the same day of the month or if it should take place every third Tuesday. I select the 21st of each month.
- Next, you can specify the recurrence range. Do you want the appointment to continue indefinitely in your calendar, or should it stop after a certain number of occurrences? Choose from the following options:
- Click OK to return to the appointment window
- The recurrence details now appear in the window.

- Now click Save & Close in the ribbon
- Move forward in your calendar to the next date your appointment is scheduled to take place and make sure it appears in your calendar.
- You have now created a recurring appointment
Conclusion
